Reaching wider audiences
We had made a very successful hybrid format in 2018 and 2019 which had physical and virtual attendees participating in the AGM. In 2020, in light of COVID-19, the challenge was to adapt this to a fully digital meeting where we could deliver an interactive solution in very restricted and socially distanced circumstances.
We recommended a live broadcast be conducted from their offices in Paddington, which gave us complete control of a venue. A number of meeting rooms were then meticulously and technically planned to become a TV and broadcast studio for the purposes of the AGM.
We determined that pre-recording the Chairman and CEO’s business presentations and playing them as simulated live, would mean that the Board had more time to engage with shareholders questions on the day.
For the question session, we devised an informal breakfast TV style format, using furnishings that accommodated 4 board members, each socially distanced. The other 6 board members were able to join the meeting remotely and they participated through MS Teams.
In close conjunction with Equiniti and Lumi we found a solution that released the event app to Shareholders in the Notice of Meeting approximately 6 weeks before the AGM. This allowed shareholders to engage with the app and send in their questions in advance.
On the day the app was used by shareholders to watch the streamed presentations whilst voting and asking questions at the same time.
The AGM was a great success with over 200 shareholders joining live, over 60 questions submitted and over 4,000 replay views in the subsequent days.
